the role.

We have a fantastic opportunity for a Part Time Executive Assistant to join our client based in Stowmarket Suffolk to support their Executive team. You will take sole responsibility of the organisation of the department and to ensure all senior staff are informed of the weekly priorities.

  • Screening telephone calls, enquiries, and requests.
  • Organising and maintaining diaries and arranging meetings.
  • Dealing with incoming emails and post, often corresponding on behalf of the exec team.
  • Taking minutes.
  • Producing documents, meeting agendas and reports.
  • Liaising with clients, suppliers and other staff as required. Provide comprehensive office and facilities support.
  • Provide full support to staff for all administrative related questions, coordinating as needed with the management team for the smooth running of the organisation.
  • Arrange meetings and team lunches or events including room setup, refreshments, equipment, and reception.
  • Carry out any other duties as are within the scope, spirit and purpose of the job as requested by the Management and Executive team.

This is a fantastic part time position working 3 days a week 7 hours a day. There is a degree of flexibility within the role of Part Time Executive Assistant hybrid working will be considered however there will be a requirement for occasional weekend meetings 3-4 times a year and some late afternoon/evening meetings to attend. You will be required to be fully vaccinated against COVID due to the nature of the role. Free parking is available along with a great NHS pension scheme.

 

what we’re looking for.

As the Part Time Executive Assistant, you will be highly organised with excellent attention to detail and have the ability to work under tight deadlines. Being IT literate is essential. A calm professional manner and confidence when speaking to patients on the telephone is the qualities required for this role.
